Administrative Assistant Job Posting

Come join our amazing main office team at Marcia Buker Elementary School!

We are seeking an administrative assistant to serve our small school of 200 students, starting with the 2024-2025 school year.

This is a full-time position; 220 days per school year.

Our administrative assistant and our other office assistant are the faces and voices of our close-knit school. We are known far and wide as a friendly, welcoming place! The ideal candidate will be a welcoming, helpful resource to existing and new families; a resource of support for teachers and other staff; an effective manager of everyday operations; and a collaborative problem-solver.

Our preferred candidate will also have experience with bookkeeping, ordering, records management, student information systems, and Google Workspace (or ability to learn).

Responsibilities include but are not limited to the following:

  • Collaborate and work as part of a team: Work closely with the principal, colleagues, parents, and the community, showing a real commitment to our collective goals.

  • Ensure smooth operations: Help our office run seamlessly, making a real difference in the quality of our school.

  • Lead and manage: Oversee daily routines and refine procedures to keep our office environment productive and efficient.

  • Schedule and coordinate: Manage appointments, conferences, and interviews, ensuring everything is perfectly organized.

  • Maintain confidentiality: Handle sensitive information with the utmost respect and discretion.

  • Welcome and assist: Be the friendly face that greets visitors, provides helpful information, and directs inquiries appropriately.

  • Keep records: Manage student records diligently, ensuring information is both accurate, up to date, and secure.

  • Prepare documents and communications: Type, edit, and process written office communications. 

  • Manage supplies: Order and maintain the supplies we need, supporting both teaching and office activities.

  • Embrace new students: Help new students feel at home from their first day with us.

  • Support and innovate: Take on various tasks to support our team, always with an eye for improving our environment.

  • Demonstrate strong work ethic: Model dedication, resilience, and professionalism in every task.

Qualifications:
  • High School Diploma or Equivalent

  • Computer proficiency required; familiarity with Google docs (or ability to learn) preferred.
